University of Nottingham Ningbo China is seeking to recruit an Officer, Student Records System
Your Responsibility
Your key responsibilities include:
• Run key events batch processing operations (covering registration, assessment, course transfers and etc.) for the student records system, and liaise with relevant units for individual and follow-up record updates.
• Log system key events backend system jobs with the system support team and run relevant rehearsal in testing environment to ensure backend batch jobs are timely scheduled and results are correctly displayed to students.
• Schedule regular queries to monitor process performance and system data quality, analyse and review outputs/reports to identify potential issues.
• Work with relevant units to identify the root cause for issues and take necessary follow-up measures/actions as required to support the corrective actions to ensure quality of data released to staff and students.
• Work with relevant business users to conduct business acceptance testing for relevant changes.
• Contribute to the annual planning of system key events activities, ensuring schedules are incorporated into operational plans.
• Support the cross-functional coordination of student records system development and upgrade works/projects, organising necessary workshops/trainings as required
• Lead assigned departmental/work unit projects, or contribute to larger University-wide projects as part of a project team, advising on system provision where applicable.
• Support the development of Standard Operating Procedure/workflow to meet targets and/or turnaround times.
• Maintain records/reports of student records system performance, identified defects and data issues, providing necessary testing evidence and feedback to line manager for analysis and decision making.
• Identify potential requirements to improve business user experience, manage relevant documentation and provide information for decision making.
• Identify appropriate testing scenarios to ensure the business acceptance testing reflects full business operations, and maintain testing reports for archiving and decision-making purposes.
• Identify key/high-risk issues during day-to-day work and report to line manager timely.
• Provide data and information to departments/work units as required.
• Liaise with various system data owners to ensure activities are carried out to agreed timescales and to a qualified standard.
• Liaise, communicate and build working relationships with Faculty/Departments/cross campus system development and support teams (EACIT and Infosys teams) on issues relating to student records systems, and their on-going development.
• Develop training materials and deliver training sessions on changes/updates to the student records system to relevant teams/functional owners as required, advising on the impact of functional services and practices.
• Provide professional advice and recommendations to relevant units/departments on system operations where there is no line manager responsibility.
About You
• Master degre
• At least 2 years related work experience
• Experience of managing the activities of self and/or others
• Detailed knowledge and understanding of student record systems/services in own area and their applications
• Authoritative knowledge of the working practice, processes and procedures relevant to student records management
• An understanding of the key working relationships required with staff at all levels
• Experience of working in an international setting and/or education organization
• Excellent planning and organising skills
• Excellent written and verbal communication skills in both English and Chinese
• Excellent presentation skills
• Excellent IT skills in a wide range of software packages
• Excellent analytical and problem-solving skills
• Sound understanding of the relevant professional, legal and regulatory requirements of student records management
